Mailroom Manager
The job of the Administration Mailroom Manager is to manage the daily incoming and outgoing mail, along with retrieving documents as is relates to Thomas & Company and our clients. The person will provide leadership and support to employees within the department by following standard concepts, practices, and procedures that involve managing a mail room.
Essential Duties and Responsibilities
- Responsible for directing and overseeing mailroom activities, including timely delivery of incoming mail, sorting & scanning documents
- Oversee the process of receiving and inputting documents via USPS, UPS, FedEx, FaxDispatcher and/or Claims Outlook Box, as well as, preparing and sending out these documents
- Oversee account management; reaching out to client services and obtaining correct information, updating client contacts, work with OnBase Team for new Forward Mail implementation.
- Coordinate with director and other department managers on assigning day to day tasks for the in-office mail team, determining high priority and working through each task until completed
- Mailroom manager will work together with Administration Subject Matter Expert (SME) and OnBase Team to ensure that documents received are updated in the appropriate locations and files
- Communicate with all divisions within T&C as it relates to incoming and outgoing mail, this may include daily communication and meetings related to pending mail projects for a T&C department
- Identifying and assessing future and current training needs for mail room tasks and assisting with designing an individualized training and development plan for current employees as well as new hires
- Maintain supply inventory and place orders with designated vendors.
- Assess needs of mailroom team and needs of T&C. Communicate those needs to Director of Administration.
- Maintaining Shred-It relationship, so that documents are shredded in accordance with current policies and procedures
- Coordinate mailroom schedule during holidays and peak times, to ensure that there is proper staffing to handle mail capacity
- Managing team members time and attendance, training requirements and mentoring/coaching and counseling
- Handle tickets/emails from other departments as it relates to mail issues (incorrect scans)
- Oversee career paths, 1:1's, annual performance appraisals for any team members assigned to you
- Complete daily, weekly and quarterly reporting on KPIs for direct reports
- Identifying and assessing future and current training needs and assisting with designing an individualized training and development plan for current employees as well as new hires
- Monitor each mail team members work, conduct audits, ensuring adherence to company policies, procedures, and standards

Requirements and Qualifications
- High School Diploma or Equivalent
- 2-4 Years of mailroom experience
- Strong writing and oral communication
- 2+ years of management experience
- 2-4 years with Microsoft Office programs
