Hybrid Administrative Support Specialist
The position of Hybrid Administrative Support Specialist is responsible for split functions within the Administration Department.
50% of the time this position is in the mailroom sorting, scanning, and processing mail in order to assist departments with unemployment claims.
50% of the time this position will be responsible for handling all facility related minor maintenance that is NOT covered under the building lease agreement and does NOT requiring specialized skillsets such as plumbing, electrical, etc.
Essential Duties and Responsibilities
- Pick up and drop off mail from the Post Office
- Materials handling
- Open, sort mail, and distribute to mailroom
- Sort, barcode, and batch claims for Advanced Capture and distribute to assigned resource
- Assist with specific State websites by pulling documents and adding information
- Prepare forward/client mail and distribute to assigned resource for mailing
- Work specific email inboxes/folders, as needed, to print out document to be mailed via UPS, USPS
- Prepare and ship out equipment as directed by the IT Team
- Index/Data Entry any document batches assigned to Administration Division
- Partner with building maintenance, as needed, to assist with general requests
- Perform minor maintenance around Thomas & Company building
- Assist with the setup, relocation or replacement of workspaces, such as office equipment and furniture
- Confirm materials are delivered and set up in a timely manner
- Ensure printers are properly maintained by stocking paper, ink, and toner
- Manage the removal of old furniture, large or oversized items
- Ability to read and follow assembly instructions
- Other duties as assigned by your manager
Requirements and Qualifications
- High School Diploma or state certified diploma
- 3 years working in an administrative position preferred, but not required
- Must have a valid driver's license
- Ability to lift to 50 lbs
- Must be able to change tasks quickly as needed
- Proficient in MS Word, MS Excel, Outlook, and the Internet
- Knowledgeable of basic office and building maintenance tools, and how to use them
- Must take initiative and work independently with little supervision
- Define priorities and handle multiple tasks and projects.
- Handle sensitive and confidential information appropriately
- Work well with varying levels of internal management staff and outside vendors
- Maintain positive working relationships with clients, peers, team members, and leadership
- Ability to deal with stressful situations to achieve desired business results
- Strong, detail oriented, organizational, analytical, and time management skills
- Must have the ability to be punctual and maintain excellent attendance
