Employment Tax Compliance Specialist

The position of Payroll Tax Compliance Specialist is responsible for in-depth and complex Employment Tax projects requiring a deeper level of expertise. This includes large mergers, acquisitions, reorganizations or divestitures, tax rate impact studies, layoff studies, payroll refund opportunities, IRS Tax Consulting projects, etc.
Essential Duties and Responsibilities
- Ability to review transaction details and analyze data and develop new processes and quality standards; all with the goal of assisting clients to be in compliance with the IRS, State and Local Agency Level and driving additional savings for our clients.
- Strategize with clients and other team members on Employment Tax issues.
- Assist in Employment Tax Services projects as needed to include taxable wage recalculations, state unemployment tax registrations, state withholding tax registrations, local income tax registrations, paid family and medical leave registrations, M&A compliance notifications, legal name changes, entity conversions, etc.
- Provide assistance to other team members is essential in this role.
- Participate in the Implementation Process for new clients as required.
- Analyze and verify SUI tax rate notices as a result of a merger or acquisition. Verify revised and corrected rates as they are issued throughout the year for our employment tax services projects.
- Respond in a timely manner to client questions and problems related to the employment tax service projects that are assigned.
- Serve as primary project manager providing high level communication regarding any project or task involved in.
- Prepare and file prior-quarter and prior-year adjustments and amendments for Tax Recovery projects.
- Complete applications for refunds where applicable.
- Determine timeline, application deadlines, filing deadlines, required documentation.
- Additional job functions include but are not limited to preparing mid-year reports, preparing claim trend analysis, taxable wage recalculations, prepare tax rate estimates for existing clients for the upcoming rate year, joint account analysis, voluntary contribution calculations, etc.
- Develop an understanding of the complexities and implications of the payroll and employment tax laws for federal, state, and local tax authorities as well as an understanding of multi-state tax compliance rules and regulations.
- Review acquisition details, analysis, and historical state unemployment tax data provided by clients to determine if tax savings opportunities exist or potential tax cost relating to M&A activity.
- Assist in the education and acclimation of new clients to the Employment Tax Services Program, inclusive of but not limited to introductory phone calls and/or meetings, providing specific and thorough detail of all services available from the Employment Tax Service Team.
- Prepare SUI registration forms, supplemental registration forms, and transfer of unemployment experience applications for clients as they establish new business and or acquire existing business(es) including registering for SIT, LIT, PFML, etc.
- Collaborate with client to obtain necessary data to execute projects and assignments.
- Provide support to clients regarding tax questions and calculations in a timely manner.
- Other duties as assigned.
Requirements and Qualifications
- Bachelor's degree in business administration, accounting, or related field of study.
- Must have minimum 5 years' experience in the Unemployment Industry or in Payroll Tax.
- Equivalent combination of education and experience will be considered.
- Certifications such as CPP, EA, etc. preferred but not required.
- Strong organizational skills, interpersonal skills and ability to work effectively with a variety of personalities.
- Excellent project management skills and ability to prioritize and execute.
- Ability to take initiative and work independently with little supervision.
- Adaptable; able to change focus quickly.
- Ability to oversee sensitive and confidential information appropriately.
- Strong oral and written communication and presentation skills and demonstrated ability to communicate complex information in a manner easy to understand.
- Professional demeanour with the ability to interact tactfully.
- Ability to work well with varying levels of internal management staff.
- Must be proficient in MS Office Suite, Outlook, Notice Ninja, DocuSign, and Internet.
- Experience in State Agency websites, CCH, Adobe PDF & LinkedIn required.
- Strong, detail oriented, organizational, analytical, and time management skills.
- Must have the ability to be punctual and maintain excellent attendance.
