Administrative Support Specialist
The job of the Administrative Support Specialist is to assist all departments with unemployment processing. The Administrative Support Specialist should be familiar with standard concepts, practices, and procedures within their job role. They must have the ability to take initiative and work independently with little supervision as well as work well with varying levels of internal management staff while maintaining positive working relationships with clients, peers, and other team members. This role reports directly to the Director of Administration.
Essential Duties and Responsibilities
- Slice, open, and sort mail and distribute to Mail Collection Center
- Sort, barcode, and batch claims for Advanced Capture and distribute to assigned resource
- Assist with specific State websites by pulling documents and adding information
- Prepare forward/client mail and distribute to assigned resource for mailing
- Complete Wage Audits and send to designated State
- Index/Data Entry Wage Audits and Monetary Determinations
- Work specific Email Boxes as needed to print out document to be mailed via UPS, USPS
- Prepare documents to be shipped as needed
- Index/Data Entry batches from "TNT from Disk Queue and TNT "Other"
- Index/Data Entry for Advanced Capture
Requirements and Qualifications
- High School Diploma or Equivalent Certificate required.
- 1-3 years data entry experience.
- Proficiency with 10-key preferred.
- Must be proficient in MS Word, MS Excel, Outlook, Internet, etc.
Special Considerations and Prerequisites
- Adaptability is the key to the Administration Team being able to assist all divisions of T&C – must be able to change tasks quickly as needed
- T&C uses TNC Application and Onbase Client – Thorough training will be implemented shortly after start date
- Ability to take initiative and work independently with little supervision
- Ability to define priorities and handle multiple tasks and projects
- Ability to handle sensitive and confidential information appropriately
- Professional demeanor with the ability to interact tactfully
- Ability to work well with varying levels of internal management staff
- Ability to maintain positive working relationships with clients, peers, team members, and leadership
- Ability to deal with stressful situations to achieve desired business results
- Strong, detail oriented, organizational, analytical, and time management skills
- Must have the ability to be punctual and maintain excellent attendance
